Job Description: Assistant Golf Secretary (Part-Time)

Location: Cheshire Golf Limited office located at Chester Golf Club, Chester CH4 8AR

Hours: Part-Time 20 hours per week, flexible working hours, including some weekend work.

Reports To: County Secretary

Salary: £21,000 pa

Cheshire Golf is the official body representing all amateur golfers in Cheshire, who belong to an affiliated Golf Club. We support and develop the game through the organisation of competitions, representative teams and the provision of guidance to our affiliated Clubs. We are committed to growing participation and maintaining high standards across all aspects of county golf.

Role Overview

We are seeking a well-organised and proactive Assistant Golf Secretary to support the efficient administration of Cheshire Golf’s activities. The part-time role will provide assistance with competition management, communication with member clubs, record keeping and general secretarial duties. The role is ideal for someone with a passion for golf and a strong background in administration.

Key Responsibilities

  • Competition Support:
  • Assist in the preparation and running of county competitions, including online entries, draws, and live scoring.
  • Liaise with host clubs regarding tee times, course setup, and logistics.
  • Attend selected events to provide on-the-ground administrative support.
  • General Administration:
  • Maintain accurate records of players, results, handicaps, and correspondence.
  • Help prepare meeting agendas, minutes, and reports as required by the County Secretary or Executive Committee.
  • Respond to queries from member clubs, players, and stakeholders via email and phone.
  • Assist the County Secretary and Finance Director with county affiliation fee collection.
  • Assist the County Secretary on special projects throughout the year e.g. AGM and County Dinner.
  • Financial & Technical Acumen:
  • Ability to work with Excel Spreadsheets
  • Online banking
  • Preparation of work for the Finance Director (FD); copy invoice preparation and seek approval from FD.
  • Assist with updating the County website and social media with competition results, news and relevant information.
  • Draft and distribute information and notices to clubs and players.

Person Specification

  • Strong administrative and organisational skills.
  • Excellent written and verbal communication.
  • Proficiency with Microsoft Office and confidence with web-based systems (e.g. Golf Genius or similar) – training will be given.
  • Ability to work independently and as part of a small secretarial team.
  • Knowledge of the structure of amateur golf and handicap systems.
  • Previous experience working with a sports organisation or volunteer-led body.
  • Interest in or understanding of golf (playing or spectating).

Additional Information

Flexibility with working hours, especially around the competition calendar.

Some travel within the county will be required (mileage reimbursed).

The role may evolve with the needs of the County and the successful candidate’s skills.
